FRONT DESK OFFICER


​The successful candidate will be responsible for managing the front desk efficiently as well as providing excellent customer assistance to both internal and external customers. The job holder will also ensure that the front office, car park and entrance area are clean and presentable at all times.




KEY ACCOUNTABILITIES

  • Provide support to the office and contribute to the smooth running of the daily operations of the office.
  • First representative of the company a visitor meets and must therefore pleasantly welcome all visitors, guiding them and giving them appropriate information.
  • Responsible for responding to queries and complaints or directing them to the right staff on a timely basis.
  • Ensures that the front desk team provides the best customer service.
  • Sorting and distributing incoming mails, answering telephones.
  • Performs basic office functions such as word processing, scanning, photocopying, binding and shredding.
  • Document preparation, filing and retrieval of documents.
  • Manages the diaries for selected Executive Team Members.
  • Maintain/update regularly a data base of all company contacts.
  • Ensuring that the office has enough consumables and office supplies at all times.
  • Supervision of front office staff.
  • Backing up the PA to Managing Director, when required.
  • Backs-up other team members in routine office functions, as required
  • Contribute to keeping good and warm work environment as well as good presentation of office reception and surroundings.


QUALIFICATIONS, SKILLS AND ATTRIBUTES

  • Grade Twelve School Certificate with O Level in English
  • Diploma in Business Administration or equivalent
  • Diploma in Secretarial Studies will be added advantage
  • At least three years’ experience is a similar role in a busy environment
  • An excellent command of English
  • Outstanding computer literacy skills
  • Demonstrable interpersonal skills, commitment to work in a team and ability to interact tactfully and professionally with staff at all levels.
  • Sound organizational skills and ability to prioritize and deliver assignments as required, and ability to work under pressure and to meet tight deadlines.
